Registration Terms

1. General provisions

These terms are applied by Sportsko Udruženje Horizont, Pavla Štosa 4, 24000 Subotica (the "organizer"), operator of the online registration platform for the Subotica Half Marathon races (5 km, 10 km, 21.1 km). By registering for a race, the participant accepts these terms, the runner's waiver and the privacy policy.

2. Registration and payment

Registration is submitted by completing the form on the platform. The entry fee is paid exclusively by payment card via the bank's hosted page (3D Secure) — card details are never entered into or stored on the platform's servers. Charges are always made in Serbian dinars (RSD); see point 5 on currency conversion. A registration is created only once the payment has been successfully charged — until then no place in the race is reserved. If the payment fails, no registration is created and the card is not charged; the form can simply be filled in again while places remain. Before payment, a specification is shown with a description of what is being purchased, the unit price, quantity and total amount, which must be confirmed together with these terms.

3. Editing your details

Until the edit deadline published for the race edition, a participant may use their account or the link from the confirmation email to edit details that don't affect the registration's identity (t-shirt size, club, phone, address, emergency contact, etc.). First name, last name and date of birth may only be changed by the organizer, at the participant's request, after identity verification.

4. Changing distance

A runner moves to a shorter distance themselves, through their account or the change link, until the change deadline — with no surcharge and no refund of the price difference. A move to a longer distance is approved by the organiser: the request is sent by email, and if the new race costs more, the difference is paid by card and the change takes effect only once payment is made. A change is not possible once a race number has been assigned, nor after registrations close; in exceptional cases the organiser may still make it, with the reason recorded. After the race has taken place the distance is not changed.

5. Currency conversion statement

All payments will be effected in Serbian currency – dinar (RSD). The amount your credit card account will be charged for is obtained through the conversion of the price in Euro into Serbian dinar according to the current exchange rate of the Serbian National Bank. When charging your credit card, the same amount is converted into your local currency according to the exchange rate of credit card associations. As a result of this conversion there is a possibility of a slight difference from the original price stated in our web site.

6. Delivery and possible restrictions

By paying the entry fee you buy the right to take part in the race — this is a service, not physical goods, so there is no postal or courier delivery: immediately after a successful charge you receive the payment confirmation and the registration confirmation by email, while the starter pack (bib number, timing chip and t-shirt) is collected in person before the race, at the place and time published with the race edition. Registration is possible from any country and with a payment card issued in any country; since there is no physical delivery, there are no customs, export or other statutory delivery restrictions by country.

7. Cancellation and refunds

The entry fee is not refunded under any circumstances, not even with a medical certificate. Race registration is a service related to leisure activities provided on a specific date, so the participant has no 14-day right of withdrawal that a consumer would otherwise have for distance contracts (Article 38 of the Serbian Consumer Protection Act). In case of a return of goods and a refund to a customer who previously paid by one of the payment cards, partially or in full, and regardless of the reason for the return, Sportsko Udruženje Horizont is obliged to make the refund exclusively via the VISA, Master, Maestro, Amex and Dina payment methods, which means that the bank will, at the seller's request, refund the funds to the cardholder's account. Refund rules (outside of distance changes covered in point 4) are described in a separate Refund Policy. If the organizer cancels or materially changes a race, participants are entitled to a refund and are notified by email with the available options.

8. Complaints

A complaint about the registration or payment service is submitted by email to [email protected] or by post to the organizer's address (Pavla Štosa 4, 24000 Subotica), stating the order number and a description of the problem. We acknowledge receipt of a complaint within two working days at the latest, deliver a decision on its merits within 8 days of receipt, and resolve an accepted complaint within 15 days of submission — by correcting the registration data, moving it to the appropriate race, or refunding the funds to the same payment card.

9. Minor participants

A minor may be registered if they meet the minimum age set for the race. The minor is not a contracting party: consent to participate is given, and the registration terms and the runner's waiver are accepted on their behalf, by a parent or legal guardian — during registration itself, before payment. After payment we email the guardian a link to confirm the consent. If the consent is not confirmed that way, it is signed on paper at start packet pickup, before the race, against the guardian's identity document. A minor participant's start packet is collected by the parent or guardian.

10. Runner's waiver and liability

By accepting the runner's waiver during registration, the participant confirms they are physically and mentally fit to participate and that they take part at their own risk, in accordance with the full waiver text shown in the registration form.

11. Data sharing

Registration data is shared with the timing provider (Hronometar) for organizing the race and publishing results. Basic details (first name, last name, city, country, club, bib number) may be published on the public start list, unless the participant opts out during registration. 12. Photographs and recordings

Photographs and recordings are made at the race to report on the event and to present the race. This does not rest on your consent but on the statutory possibility of publishing a recording from a public gathering and on the organizer's legitimate interest. If you do not want a recording in which you are identifiable to be used, write to [email protected] — we remove it without delay and without asking for reasons. 13. Changes to these terms

The organizer reserves the right to amend these terms; changes take effect upon publication on the platform. For already confirmed registrations, material changes are communicated by email.

14. Protection of confidential transaction data

When entering payment card details, confidential information is transmitted over the public network in protected (encrypted) form using the SSL/TLS protocol and PKI technology, as the current state of the art in cryptography. The card number, expiry date and security code are entered exclusively on the bank's page and at no point pass through or are stored on the platform's servers. The platform stores only the masked card number (last digits) and the transaction identifiers returned by the bank, for record-keeping and support. The security of data during purchase is guaranteed by the card processor, Banca Intesa ad Beograd, so the entire payment process takes place on the bank's page. At no point are payment card details available to our system. All transactions go through a 3-D Secure identity check with the bank that issued the card.

1. What data is collected

At registration: first name, last name, gender, date of birth, email, phone, country, city, address (optional), t-shirt size, club/team (optional), emergency contact, and for companies also invoicing details (name, tax ID, registration number, address). Technical transaction data (excluding card details) is kept for bookkeeping and handling disputes.

2. Purpose and legal basis

Data is processed to organize the race and perform the registration contract (charging the fee, issuing a bib number, sharing with the timing provider, publishing results) and, with separate consent, to send news about future races (marketing). Marketing consent can be withdrawn at any time, with one click in every message, without affecting an already completed registration.

3. Data of minors

A minor participant's data is processed on the same basis as an adult's — to perform the registration contract. For processing that rests on consent (marketing messages, publication of photographs), consent for a person under 15 is given by a parent or legal guardian, in line with Article 16 of the Serbian Personal Data Protection Act. Alongside the child's data we process the guardian's name, relationship, email address and phone number — solely to obtain and evidence the consent, to communicate about the child's participation, and to hand over the start packet. That data is kept and erased on the same schedule as the registration data.

4. Photographs and recordings from the race

Photographs and recordings are made at the race. They are published to report on and document the event (the website, the organizer's social media accounts) and to present the race in future editions. The legal basis is not your consent, but: the possibility of publishing a recording made at a public gathering, provided for by the Serbian Public Information and Media Act, and the organizer's legitimate interest in presenting its own event (Article 12(1)(6) of the Personal Data Protection Act). Objection: you may ask at any time for a recording in which you are identifiable to be removed. An email to [email protected] is enough, with no reasons required — we remove it without delay. A removal request affects neither your registration nor your result. Use of a name and image in a third party's advertising (a sponsor, for example) or for purposes beyond presenting this race requires separate, explicit consent, which may be withdrawn at any time. Minor participants: an identifiable recording of a child is used for promotional purposes only with the consent of a parent or legal guardian. Reporting on the event itself is not restricted by this.

5. Processors and recipients

The following are involved in processing: the timing provider (Hronometar) — bibs and results; the email provider (Mailgun EU) — sending confirmations and notices; the bank and payment processor (Banca Intesa / NestPay) — card charges, with the platform never having access to card data; the platform's infrastructure hosting provider; backup storage (Google Drive) — database copies are stored encrypted, so the provider has no access to their contents. Data is not sold to third parties or used beyond the purposes listed here.

6. Public start list

The start list is publicly available and indexable, but shows only first name, last name, city, country, club and bib number — no birth year, email or phone number. Opting out of the public start list is optional and chosen on the registration form; it can be changed later via your account.

7. Data retention

Registration personal data is anonymized no later than 3 years after the race. Accounting records of the payment (order and transaction data, fiscal receipt) are kept for 5 years after the end of the business year in which the payment was made, as required by the Serbian Accounting Act — once anonymization runs, those records are no longer linked to your personal data. Emergency contact details are used only on race day and are not retained afterward.

8. Your rights

Participants have the right to access, edit and delete/anonymize their data. Editing is available via your account or the edit link from the confirmation email; for deletion before the retention period ends and other requests, contact the organizer at the address below.

9. Data security

The platform never stores payment card data — charging is handled entirely on the bank's hosted page (PCI SAQ-A). Access to the admin panel is role-restricted, and every change to a registration or payment is recorded in an internal audit trail.

10. Cookies

The platform uses only technically necessary cookies (account sign-in) and, where enabled, privacy-friendly visit analytics (no cross-site tracking of individual users) — no cookie consent banner is required.
